This is particularly useful when a Legal Negotiator or Business Negotiator needs to change during an active deal. ## Access the collaborators modal 1. Open any document that is in a **pre-execution stage**. 2. Go to the **Document Details** page. 3. Click the **Share** icon (🔗) or the **Collaborators** section. 4. The collaborators modal opens, showing all collaborators associated with the document. ## Collaborator actions In the collaborators modal, click the **three dots (⋮)** next to any collaborator to see the available options: - **Replace**: Replace the current assignee with a new person - **Remove**: Remove the collaborator from the document ## Add a collaborator Add team members to view, comment on, or edit contracts based on their role. 1. In the collaborators modal, click **Add**. 2. Select the user you want to add. 3. Assign a role: - **Collaborator**: Basic access to view and comment - **Legal Negotiator (LN)**: Full legal workflow responsibilities - **Business Negotiator (BN)**: Business workflow responsibilities - **Pre-Sharing Reviewer (PSR)**: Access to assigned variables or sections 4. **Attach additional deal documents**: You can select which contracts of the specific deal the person should have access to. You can select multiple contracts by clicking the checkbox. This option is available only to the Collaborator role. When you are added as an LN or BN, you automatically get access according to your role. 5. Click **Add** to confirm. The collaborator will receive access to the contract based on their assigned role and underlying user permissions. > **Info — NOTE** > > Every collaborator receives at least 'share and comment' access. Business users with limited visibility will be able to view and comment on the contract even if they don't normally have access. ## How roles affect collaborator rights The rights a collaborator receives depend on both their assigned role and their underlying user role in the system. ### Admin users Adding an admin as a collaborator is redundant since they already have broad access to all contracts. ### Legal users When added as a collaborator, legal users gain edit access to the contract in addition to viewing and commenting rights. ### Business users Business users added as collaborators can view and comment on contracts. However, if a business user is assigned as a Legal Negotiator but their underlying role lacks edit permissions, they will not be able to edit the contract. ### Pre-Sharing Reviewers Pre-Sharing Reviewers have a limited role that is active only at the start of the contract, before it is shared with external parties. They are assigned specific variables or sections to fill in. Only one PSR can be assigned per variable. > **Info — Note** > > A user's underlying role determines their actual permissions. The collaborator role you assign cannot grant permissions beyond what their user role allows. ## Reassign Legal Negotiator or Business Negotiator Replace the current LN or BN with a different user to transfer workflow responsibilities. 1. Open the document and go to the **Document Details** page. 2. Click the **Share** icon (🔗) or **Collaborators** section. 3. Locate the current Legal Negotiator or Business Negotiator. 4. Click the **three dots (⋮)** next to their name. 5. Select **Replace**. 6. Choose the new user from the list. 7. Confirm the replacement. The newly assigned user will gain all responsibilities associated with the LN or BN role. > **Info — NOTE** > > - New assignees receive **immediate access** to the contract > - New assignees can view the **full activity and version history** > - Activity logs are **updated** to reflect the change > - The contract lifecycle is **not affected** — the contract remains at its current stage ## Reassign Pre-Sharing Reviewers Pre-Sharing Reviewers are assigned at the start of a contract to fill specific metadata or contract sections. Their role is active only **before the contract is shared** with external parties. > **Info — Note** > > - Only **one PSR can be assigned per variable** — no two users can review the same variable in a contract > - To assign a variable to a different PSR, you must first unassign it from the current PSR ### Replace a Pre-Sharing Reviewer To replace a PSR or reassign their variables: 1. Go to the **Collaborators** modal. 2. Click on the PSR you want to replace. 3. A popup opens showing their **Assigned Variables** and **Assigned Section(s)**. 4. You can either: - **Delete the user** to remove them entirely, or - **Uncheck specific variables** that you want to assign to another PSR 5. Optionally, change the name in the **Name** section to assign a different user. 6. Click **Replace** to confirm the changes. ### Add a new Pre-Sharing Reviewer To add a new PSR and assign variables: 1. Go to the **Collaborators** modal. 2. Click **Add**. 3. Select **Role** as **Pre-Sharing Reviewer**. 4. **Assign Variables**: Select one or more unassigned variables for the PSR to review. 5. **Assign Section(s)**: Select specific sections from the document for the PSR to review. 6. Click **Add** to confirm. > **Warning** > > You can only assign variables that are currently unassigned. If a variable is already assigned to another PSR, you must unassign it first before adding it to a new PSR. ## Bulk add collaborators across contracts Add collaborators across multiple contracts at once from the Contracts page. 1. Go to the **Contracts** page. 2. Select multiple contracts by checking the **checkboxes** next to each contract. 3. Click **+Add Collaborators** from the panel that appears above. 4. In the pop-up, under **Add User**, enter the name of the user you want to add as a collaborator. 5. Under **Select Role**, choose the role for the user: - **Legal Negotiator** - **Business Negotiator** - **Collaborator** 6. Click **Add** to confirm. The selected user will be added as a collaborator with the chosen role across all the selected contracts. > **Info — NOTE** > > The **Pre-Sharing Reviewer** role is not available for bulk add. To assign a PSR, use the single document flow described above. ## Remove a collaborator Collaborators can be removed when they no longer require access to the contract. 1. Open the collaborators modal from the **Share** icon (🔗). 2. Locate the collaborator you want to remove. 3. Click the **three dots (⋮)** next to their name. 4. Select **Remove**. 5. Confirm the removal. > **Warning — Minimum requirement** > > Every contract must have at least **1 Legal Negotiator** and **1 Business Negotiator**. You cannot remove a collaborator if it would leave the contract without a required role. ## Who can reassign collaborators Users with access to the contract can reassign collaborators. No special permissions are required beyond contract access.
