They are shortcuts for filling in invitee details when sending documents. The same person may appear more than once if their details (e.g., email address) were entered differently across documents. Duplicate entries do not affect document signing or user access — they exist purely for your convenience while composing new sending requests. ## Access Contact Book 1. Click **Dashboard** at the top of the page. 2. Select **Contact Book** from the left navigation panel. ## Contact Book Table The Contact Book displays all saved contacts in a table with the following fields: | Field | Description | | :---- | :---- | | **Contact Name** | The name of the invitee. | | **Email ID** | The invitee's email address. | | **Phone Number** | The invitee's phone number. | | **Label** | A tag or category assigned to the contact for easy identification. | | **Ownership** | Indicates whether the contact is owned by you or shared with you by another user. | --- ## Add a Contact 1. Click the **+ Create** button in the top right corner. 2. Enter the contact's details: - **Name** - **Email** - **Phone Number** - **Label** (optional) 3. Click **Save**. The contact will appear in your Contact Book and will be available to use during the sending journey. ### Import Contacts in Bulk You can add multiple contacts at once using an Excel file. 1. Click the **Import** button. 2. Download the sample Excel template if needed. 3. Fill in the contact details (Name, Email, Phone Number, Label) in the template. 4. Upload the completed Excel file. 5. Click **Submit**. All valid contacts from the file will be added to your Contact Book. --- ## More Actions ### Filter Contacts Use filters to narrow down contacts in the Contact Book. 1. Click the **Filter** icon in the Contact Book. 2. Apply one or more of the following filters: | Filter | Options | | :---- | :---- | | **Label** | Filter by one or more labels assigned to contacts. | | **Ownership** | **Personal** – contacts you created; **Shared** – contacts shared with you by others; **Organisation** – contacts available across the organisation. | | **Sharing** | **On** – contacts you have shared with others; **Off** – contacts not yet shared. | 3. The table updates to show only the contacts matching your selected filters. ### Send a Contact You can send contacts to other users in your organisation. 1. Find the contact you want to send and click the **Three dots (⋮)** (More Options) next to it. 2. Select **Send**. 3. Select the user(s) you want to send the contact to from the list. 4. Click **Send**. ### Edit a Contact 1. Find the contact you want to edit and click the **Three dots (⋮)** (More Options) next to it. 2. Select **Edit**. 3. Update any of the following fields: - **Name** - **Email ID** - **Phone Number** - **Labels** 4. Click **Confirm**. ### Delete a Contact 1. Find the contact you want to remove and click the **Three dots (⋮)** (More Options) next to it. 2. Select **Delete**. 3. Confirm the deletion from the popup. > **Info — Note** > > Deleted contacts are recorded in the [Activity Logs](https://knowledge.leegality.com/document-execution/activity-log). ## Use Contacts During Document Execution When the Contact Book is enabled in [**Settings → Department → Invitee Configurations**](https://knowledge.leegality.com/document-execution/settings/Department/invitee-configurations), you can select saved contacts while adding invitees during the sending journey. 1. During the sending journey, click **+ Add Invitee**. 2. Start typing the invitee's name or email in the contact field. 3. Select the contact from the suggestions that appear. The invitee's name and contact details will be auto-filled from the Contact Book. > **Info — Note** > > The Contact Book option must be enabled by your admin in **Settings → Department → Invitee Configurations** for it to appear during the sending journey.
