Each category helps you track the document’s status and understand what actions (if any) need to be taken. ## Sent The Sent folder contains all documents for which signing and/or reviewing invitations have been sent, but not all invitees have completed their actions. This contains the documents that are partially signed but expired before all invitees acted. In this case, the sender needs to **re-activate** the document from its details page and set a new expiry date. ## Received The **Received** folder lists documents that you’ve been invited to **sign or review**. * Documents remain here **until all invitees (including you)** have completed their action. * Once the signing/review is complete by all invitees, the document automatically moves to the **Completed** folder. In case you are a signer, the document will *only* move to the Completed folder if the “[**Auto Save Signed Document**](https://knowledge.leegality.com/document-execution/settings/account-level/document-setting/auto-save-signed-documents)” is enabled or manually saved from the details page. ## CC The **CC** folder shows documents where you were added as a **CC invitee**. * You are not required to take any action. * The document will only appear in the CC folder if the sender has enabled the “**Share audit trail and signed document**” option in the CC Options while sending the document. ## Drafts The Drafts folder contains documents you began preparing but aborted before sending for signing. **When is a document saved as a draft?** A document is added to **Drafts** when, during the **New Document Journey** or a **Workflow run**, you: | **Stage** | **When Draft is Saved** | **If Canceled – What’s Retained** | | ------------ | ----------------------------------------------------------------------------------- | -------------------------------------------------------------------------------------------------------------------------------------------------------------- | | **Create** | Draft is saved when the sender clicks **Next** and proceeds to the **Invite** page. | Document(s) and Stamp(s) added in this stage are retained. | | **Invite** | Progress is **not** saved at this stage. | Even if every invitee, their configurations, and signatures are set, canceling will only retain the Document(s) and Stamp(s) from the Create stage. | | **Finalize** | Progress is **not** saved at this stage. | Even if signature coordinates are placed, canceling will only retain the Document(s) and Stamp(s) from the Create stage. | > **Warning — What's Retained in Drafts** > > Even if you configure invitees, signing options, or reach the final review stage, none of that progress is saved. Only the **document** and **attached stamps** are saved. > **Info — 📌 Stamps remain Resereved** > > If a stamp is attached, it remains **reserved** and **cannot** be used in other documents until the draft is deleted or sent. > **Tip — Draft Retention Period** > > Drafts are automatically deleted **30 days** after creation by default. You can customise the draft retention period from the [**Automatically Delete Draft Documents**](https://knowledge.leegality.com/document-execution/settings/Department/document-config#automatically-delete-draft-documents) setting in the dashboard. ## Completed The **Completed** folder shows documents where **all required parties have successfully signed the document**, and no further action is pending. ### For Signers However, whether a signer (invitee) sees the document in the **Completed** folder of their Leegality account depends on a feature called [**Auto Save Signed Document**](https://knowledge.leegality.com/document-execution/settings/account-level/document-setting/auto-save-signed-documents). #### What is “Auto-save signed documents”? This setting determines whether the signed document is **automatically saved** to the invitee’s Leegality account after they finish signing. * **If ON**: The document appears in the signer’s **Completed** folder immediately after signing. * **If OFF**: The document is **not saved automatically**. The signer must manually choose to save or delete it. #### How a Signer can Manually save a Signed Document from the Public Details page After the invitee signs the document, they are redirected to the **Public Details Page**. In the **bottom-left corner**, two options are available: * **Save the document:** Clicking this triggers an OTP verification (via registered email or phone). Once verified, the document is saved to the signer’s Completed folder. > **Note:** If the signer does not have a Leegality account then the system automatically creates a free, secure Leegality account for you using the email or phone number you provided during signing. The signed document is stored in this account. * **Delete my copy:** Clicking this will show a warning: “This will permanently delete this document. This action cannot be undone.” If confirmed, the document is deleted, and the signer will no longer be able to access it via email, SMS, or WhatsApp links. ### For Senders Regardless of the auto-save setting for invitees, the document is **always saved** in the **Completed** folder of the sender once all required actions are done. > **Info** > > Senders can enable [**Auto-delete Completed Documents**](https://knowledge.leegality.com/document-execution/settings/Department/document-security-settings#auto-delete-after-document-completion) to automatically remove completed documents from **their own account** after a chosen retention period. > > This setting **does not affect the signer’s copy**. If a signer has saved their copy, they will still be able to access it even after the sender’s copy is deleted. ## Expired The **Expired** folder contains documents where the **invitation to eSign or review has expired** before any invitee took action. In other words, these documents are considered **completely unsigned** — no invitee has signed or reviewed them. **As soon as a document expires:** * Invitees can no longer access or sign the document. * eSign credits are automatically reverted back to the unused pool. * If the expired document includes affixed stamps, the document is deleted immediately upon expiry. The status of those stamps is reset to Unused, making them available for future use. Unsigned documents in the Expired folder are automatically deleted after 30 days from the date of expiry.
