Instead of running the workflow one pack at a time, you fill in the workflow's Excel template — **one row per pack** — and upload it. Leegality creates a pack for every row and sends it out, using all the settings defined during [workflow creation](https://knowledge.leegality.com/document-execution/workflows/v4/create-a-workflow). > **Info — Which workflows can be used** > > - Only **Published** workflows can be run via Excel Upload. > - Any v4 workflow qualifies, including workflows with **PDF-type sub-documents**. ## Open the workflow details page Everything related to Excel Upload — downloading the template, uploading files, tracking results, and custom mapping — happens on the workflow details page. 1. Navigate to **Workflows** from the left panel. 2. Open the **V4 Workflows** tab. 3. Find the workflow you want to run. (**Note:** You can search by workflow name or ID.) 4. Click the **Three Dots (⋮)** on the right side of the workflow, and select **View Details**. The details page shows the workflow's ID, creation and update dates, its [Upload Email and Authorized Email IDs](#run-via-email), and an **Excel Uploads** table listing every file uploaded so far. The icons at the top right of the page include **Download Template**, **Upload Excel**, and **Custom Mapping**. ## Download the Excel template 1. On the workflow details page, click the **Download Template (xlsx)** icon. 2. Fill in the template, one row per pack. See [Fill the Excel template](https://knowledge.leegality.com/document-execution/workflows/v4/excel-upload/fill-excel-template) for how the template is structured and what each column expects. > **Tip** > > If your team already keeps this data in its own spreadsheet format, set up [Custom Mapping](https://knowledge.leegality.com/document-execution/workflows/v4/excel-upload/custom-mapping) once and upload that spreadsheet directly instead of copying data into the Leegality template. ## Upload the Excel file 1. On the workflow details page, click the **Upload Excel** icon. 2. Select your filled Excel file. (**Note:** You can also download the template from this pop-up using **Download Excel**.) 3. Click **Upload**. The file appears at the top of the **Excel Uploads** table, and its packs are created in the background. ## Track the upload The **Excel Uploads** table shows the progress of every uploaded file. Click **Refresh** to see the latest status, or search for a file by its name or ID. ### Processing Status **Processing Status** tells you whether the Excel file itself could be read: - **Processing** — the file has been uploaded and is being checked. - **Completed** — the file has no file-level issues (such as mismatched headers), and Leegality has started creating a pack for each row. > **Warning — Completed does not mean every pack was sent** > > **Completed** only confirms that the file was valid. Individual packs can still fail. Check the **Details** column for the result of each row. ### Details The **Details** column shows how many packs from the file have been **created**, have **failed**, or are still **processing**. You can see at a glance whether every row went through, without downloading any file. ## Download the input and output files 1. In the **Excel Uploads** table, click the **Three Dots (⋮)** on the right side of the upload. 2. Select one of the following: - **Download Input File** — the Excel file exactly as you uploaded it. - **Download Output File** — your file with the result of each row, including an **Error** column for any pack that could not be created. > **Info — One error per row** > > If a pack could not be created, the **Error** column of the output file shows a **single error** for that row. After you fix it, re-upload the row — if it has another problem, that error appears in the next output file. (In v3, all errors for a row were shown together.) ## Generate the invitation report 1. In the **Excel Uploads** table, click **Generate Report** in the **Invitation Report** column. 2. Once the report is ready, a **Download** link replaces **Generate Report**. Click it to download the report. You can generate the report even while some packs from the file are still processing. ## Run via email You can also run the workflow by emailing the filled Excel file to the workflow's **Upload Email** address. Only emails sent from an **Authorized Email ID** are processed. 1. On the workflow details page, click **Add users** next to **Authorized Email ID(s)**. 2. Click the text field. A list of users in your account appears. (**Note:** You can type to search.) 3. Select one or more users. 4. Click **Save**. Once at least one Authorized Email ID is added, the **Upload Email** address appears on the details page. Click the copy icon next to it, and send the filled Excel file as an attachment to that address from any of the authorized email IDs. > **Info — Note** > > Authorized Email IDs for v4 workflows can only be users of your own account (tenant). You cannot add external email addresses. ## What's different from v3 Excel Upload | | v3 | v4 | |---|---|---| | **Eligible workflows** | Template-type workflows only | Any published workflow, including PDF-type sub-documents | | **Where to start** | **Upload** button on the workflows list | Workflow details page | | **Result of each row** | Download the output file to check | Shown in the **Details** column | | **Errors in the output file** | All errors for a row | One error per row | | **Custom mapping** | Completed in one go | Can be saved as a draft, edited, and extended with new columns | | **Authorized Email IDs** | Set while editing the workflow | Users of your own account only, set from the details page |
