This guide walks through what invitees experience — from receiving the notification to completing their signature. > **Info — Note** > > The invitee may not need to perform all the steps mentioned in this guide. The required actions depend on how the sender has configured the document pack. ## Step 1: Access and Preview the Documents Invitees receive the invitation via **email, SMS, and/or WhatsApp**, or a direct link shared by the sender. **Example email:** #### Signer ![Example v4 eSign invitation email sent to a signer, listing the documents assigned to them](https://knowledge.leegality.com/img/invitation-to-signer-v4.png) #### Reviewer ![Example v4 review invitation email sent to a reviewer, listing the documents assigned to them](https://knowledge.leegality.com/img/invitation-to-reviewer-v4.png) ### What the email shows The email notification includes: - **Sender information:** Who (person or entity) sent the document and requested signing - **Expiry details:** Exact date and time when the invitation expires - **Document count:** How many documents need to be signed (one or more) - **Document names:** Names of all documents assigned to this invitee - **Sequence information:** If multiple documents, they're shown in sequential order - **[Custom message](https://knowledge.leegality.com/document-execution/leegality-features/document-level/custom-message):** Any additional message from the sender, if added ### Authenticate before preview (If Enabled) If the sender has enabled **1-Factor** or **2-Factor Authentication before document preview**, the OTP verification is the **first screen** you see after clicking the signing link — before language selection and before any document is shown. These checks protect the documents' content itself: only the intended recipient can view the documents, even if the invitation is forwarded by mistake. - [**One-Factor Authentication**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/security/one-factor-authentication#signing-journey)**:** OTP sent to your email **or** phone number. - [**Two-Factor Authentication**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/security/two-factor-authentication)**:** OTPs to **both** email and phone number. Accessing the signing link via one channel counts as the first factor — you then verify the OTP on the other. If the sender has not enabled these, you go straight to the steps below. > **Info — OTP Expiry** > > All OTPs during the signing journey expire after **10 minutes**. If an OTP expires, you will need to start the signing process again. ### Choose a language 1. Click the **Sign Document(s)** button in the email, or the **signing link** if you received an SMS or WhatsApp message. 2. If the sender has enabled [**Local Language**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/local-language?version=v4#signing-journey), you are taken to the language selection page — select the language in which you would like to proceed. Otherwise, you go directly to the document preview. ### Preview the documents After selecting a language (or directly, if Local Language isn't enabled), you land on the preview page. In a multi-document pack, the documents appear in preview **one at a time, in the order the workflow creator set them up**. Each assigned document follows the same steps below — 1 and 2 — before you move to the next one. #### 1. View the document The document's merged PDF is shown — all its sub-documents and templates combined, already reflecting any template data the workflow runner filled in earlier. While previewing, you can also: - **View the invitee list** — all invitees the documents have been sent to. - **[View reference attachments (📎)](https://knowledge.leegality.com/document-execution/leegality-features/document-level/reference-attachments?version=v4#accessing-reference-attachments-during-the-signing-journey)** — click the attachment icon to view and download any reference documents uploaded by the sender. - **Download the documents** — click the download icon to download a document in its current state. - **[Change the language](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/local-language?version=v4#signing-journey)** at any time from the list of languages. Click **Proceed** to continue. #### 2. Fill template fields (If Applicable) This step appears only if the document has at least one template with **Allow first invitee to fill** enabled, and you are the first invitee — otherwise you skip straight to the next document. If a document has more than one such template, they are shown **one at a time**. 1. Click **Fill Document** for the template. 2. Fill out the fields, using the **Preview** option to verify your entries. All of the template's field validations — mandatory fields, character limits, and so on — are enforced before you can proceed. > **Info — Group fields** > > If a template has group fields, filling one of them automatically updates the other fields in that group. 3. Click **Save as Draft** at any point to save your entries to the backend — if you resume later, your saved data is pre-filled. 4. Once all required fields are filled, click **Proceed** — to the next template if there's another, otherwise to a final view of this document's merged PDF showing all the data you just filled in, where **Save as Draft** is available again. Click **Proceed** to move to the next document in the pack, or, once **all your assigned documents are reviewed**, to continue with the rest of the signing journey. > **Info — When your data is saved** > > Besides **Save as Draft**, your template entries are also saved automatically: > > - Each time you click **Proceed** to move to the next document — provided you've already completed any required authentication at that point. > - Right before you sign — on the **Sign Document** click, or when redirected to the ESP page for Aadhaar eSign. --- ## Step 2: Sign the Documents ### Complete invitee actions (If Configured) After previewing the documents, you may need to complete a few sender-configured actions before you reach the signing page: - **[Upload Supporting Documents](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/other-features/supporting-documents#signing-journey)** — click **Upload**, add the file(s) the sender has requested, and click **Proceed**. Supported formats: .pdf, .png, .jpg (maximum file size: 2 MB). - **[GPS Location](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/security/capture-gps-location#signing-journey-of-capture-gps-location)** — your current location is captured on the next screen (optionally with an accuracy threshold, or restricted to a geofenced area); click **Proceed** after the capture. GPS is captured **only once** — the single capture applies to all the documents you sign in the pack. A smartphone is recommended for better location accuracy. - **Face Capture** - [**Capture your photo**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/security/capture-photo#signing-journey)**:** Take a real-time photo using your device. - [**Face Match**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/security/face-match#signing-journey)**:** Your photo will be compared with the identity information provided by the sender. If not matched, you cannot proceed to sign. - **User (Invitee) Liveliness Detection:** Confirms that the person signing is physically present. Failure to detect liveliness prevents signing. - [**Manual Liveliness**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/security/manual-liveliness)**:** OTP-based verification - [**Smart User Liveliness**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/security/smart-user-liveliness)**:** AI-based verification - [**Company Stamp/Seal**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/esignature-appearance/company-seal#example-of-company-seal-with-signature) - Authorised Signatory Seal - Director Seal - Upload Company Seal - [**Name Editing**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/esignature-appearance/invitee-name-editing)**:** If allowed by the sender, you can edit the name that will appear on the signature. - [**Reject to Sign**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/other-features/reject-to-sign?version=v4#invitee-rejection-journey)**:** If permitted, you can choose to reject the document at any time during the signing journey. - [**Payment Collection**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/payment-collect#signing-journey)**:** In some cases, the sender may require you to make a payment before completing the signing process. You will be prompted to make the payment securely within the signing journey, and once the payment is completed, you can proceed to sign the documents. > **Info — Note** > > Not all actions are required for every signing journey. The document sender configures which actions are mandatory based on the document requirements. ### Sign or review the documents On the signing page, proceed based on your role: #### Signer 1. **Select an eSign Type:** Sign using the eSign type(s) the sender has enabled for you. Agree to the default and any additional consent terms. 3. Click **Sign Document**. > **Info — One signature for the whole pack** > > You sign **only once** — the single signature applies to all the documents assigned to you in the pack. On successful signing, you will receive a confirmation via email or SMS, and you are redirected to the **Public Details Page**, where you can monitor the progress and view invitee actions. Once all invitees have signed, you receive the completion email with each signed document and its audit trail attached — see [Document completion](#document-completion). #### Reviewer 1. After reviewing all your assigned documents, click **Proceed**. 2. If the sender has enabled **Require OTP for Approval/Rejection**, complete the OTP verification before submitting your decision. 3. Choose to either **Approve** or **Reject**. Your decision applies to **all the documents assigned to you** — a reviewer approves all their assigned documents together, or rejects them all together. You cannot approve some and reject others in the same review. 4. Click **Submit**, check the consent box, and confirm your action. > **Info** > > Refer to [**Reviewer Journey**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/types-of-invitee/reviewer#reviewer-journey) for more details. ## Document completion Once all invitees in the signing order have signed, the document pack is **completed**. Completion triggers emails at two points — a confirmation when you sign, and a completion email to all invitees once everyone has signed. What each invitee receives (including CC invitees) depends on the sender's configuration. For what each email contains, with examples, see [Completion Emails](https://knowledge.leegality.com/document-execution/workflows/v4/completion-emails). ## Step 3: Track Document Status on the Public Details Page After signing, you are redirected to the **Public Details Page** — a central hub where you can preview and download the signed documents and their audit trails, save them to your Leegality account, and track each invitee's signing status. The page is openly accessible for the first **48 hours** after you sign; after that, the link becomes secure and requires an OTP login.
