All settings defined during [workflow creation](https://knowledge.leegality.com/document-execution/workflows/v4/create-a-workflow) are applied automatically — as the workflow runner, you fill in only what the creator left open, and you cannot change what they locked. > **Info — Note** > > The options available to you depend on how the workflow was created. Not every workflow lets you modify documents, stamps, invitees, or other settings. ## Access your workflow 1. Navigate to **Workflows** from the left panel. 2. Open the **V4 Workflows** tab. 3. Find the workflow you want to run. (**Note:** You can search by workflow name or ID.) 4. Click the **Run** button on the right side of the workflow. The workflow opens at the **Create** stage. A v4 workflow runs across the **Create**, **Invite**, and **Finalise** stages, with an additional **Template** step after Invite if the pack uses fillable templates. The steps below follow this flow. > **Info — Note** > > The options available to you are a matter of [workflow creation](https://knowledge.leegality.com/document-execution/workflows/v4/create-a-workflow). > **Info — Stage names and visibility** > > The workflow creator can rename or hide stages using [Visualisation](https://knowledge.leegality.com/document-execution/workflows/v4/setup-configuration/visualisation). The stage names you see may differ from those shown here, and any stage the creator has hidden will not appear while you run the workflow. --- ### Step 1: Prepare Your Document The document pack is already assembled as configured in the workflow. Depending on the configuration, you may need to upload a PDF, or the templates and PDFs set during creation are attached automatically. A pack can contain multiple **primary documents** (each shown as a separate tab), and each primary document can contain multiple **sub-documents**. For a detailed explanation, see [Packs and documents](https://knowledge.leegality.com/document-execution/workflows/v4/understanding-v4/packs-and-documents). > **Info — NOTE** > > You can add new primary documents with the **+ Add Document** tab if the workflow creator left it visible and editable. If the creator has locked or hidden the option, it is not available while running the workflow. See [Field Properties](https://knowledge.leegality.com/document-execution/workflows/v4/setup-configuration/field-properties). For each primary document: 1. **Upload sub-documents (if required):** If the creator left an upload placeholder, add the relevant PDF(s). If documents are pre-attached and locked, you cannot change them. 2. **Document Name:** Enter the primary document name. It appears in the email subject and body. > **Tip — Example** > > **Email Subject:** "Invitation to eSign: Service Level Agreement" 3. **Internal Reference Number:** Enter the Internal Reference Number for the document. The **Name**, **Internal Reference Number**, and any other input fields follow the [validations](https://knowledge.leegality.com/document-execution/workflows/v4/setup-configuration/field-configuration) (character limits and format) set during workflow creation. > **Info — Note** > > Field behaviour depends on the workflow configuration. Fields the creator marked as non-editable are pre-filled and locked, hidden fields do not appear, and mandatory fields must be filled before you can proceed. > See [Control Field Behaviour](https://knowledge.leegality.com/document-execution/workflows/v4/setup-configuration/field-properties) for more details. #### Manage templates If the workflow creator left the **Select Template** option editable, you can select additional templates the same way as in [workflow creation](https://knowledge.leegality.com/document-execution/workflows/v4/create-a-workflow#option-2-use-templates) — search, filter by type, pick a version or **Latest**, and select one or more. For templates the creator already selected, whether you can enable/disable or delete them depends on the same [Enable and delete controls](https://knowledge.leegality.com/document-execution/workflows/v4/create-a-workflow#enable-and-delete-selected-templates) the creator configured — available only where left visible and editable. Only **enabled** templates are used in the document sent for signing. --- ### Step 2: Add Stamp Papers Depending on the workflow configuration, you may be able to select stamp settings, enter only a quantity, or simply confirm settings that are already fixed. > **Info — Note** > > The options below are based on the workflow configuration. Not all workflows allow selection or modification of stamp settings. Stamps can be attached in one of two ways: - **Stamps for merged document:** A single stamp is attached at the beginning of all combined sub-documents (Stamp → Sub-document A + Sub-document B). - **Separate stamps for sub-documents:** A dedicated stamp is attached to each sub-document (Stamp 1 → Sub-document A, Stamp 2 → Sub-document B). This applies only when a primary document has more than one sub-document. If the workflow creator has already fixed which method to use, you must follow it. If they left it open, you can choose the stamping method while running the workflow. Once you've chosen a method, configure the stamp using one of the following options: #### Stamp Series #### Stamp Series **Option 1:** - You may select a stamp series and enter the quantity. This is configurable while running the workflow. **Option 2:** - The stamp series is fixed by the workflow creator, but you must enter the number of stamps to attach from that series. **Option 3:** - Both the stamp series and the quantity are fixed by the workflow creator and cannot be changed. #### Stamp Group #### Stamp Group **Option 1:** - You may select a stamp group and enter the stamp value to attach. **Option 2:** - The stamp group is fixed by the workflow creator, but you must enter the stamp value. You cannot select a different stamp group. **Option 3:** - Both the stamp group and the stamp value are preset by the workflow creator and cannot be modified. #### Revenue Stamp #### Revenue Stamp **Option 1:** - You may add a revenue stamp and enter the quantity. **Option 2:** - The revenue stamp is fixed by the workflow creator, but you must enter the quantity. **Option 3:** - Both the revenue stamp and the quantity are fixed by the workflow creator and cannot be changed. #### Stamp Upload #### Stamp Upload **Option 1:** - You must provide the **State**, **Denomination**, **First party name**, **Second party name**, and **Stamp serial number**, and upload the stamp paper. **Option 2:** - The workflow creator has pre-filled some stamp details (such as State and Denomination). You enter the remaining details and upload the stamp paper. --- ### Step 3: Invite Configuration > **Info — Note** > > All settings configured during workflow creation are automatically applied here. The availability of certain features depends on the workflow creator's configuration. You can enter the invitee-specific parameters — such as **Name** and **Contact Details** (Email or Phone) — for any invitee the creator left open. How each field on the invitee card behaves depends on its [Field Properties](https://knowledge.leegality.com/document-execution/workflows/v4/setup-configuration/field-properties) — locked fields show fixed values, hidden fields do not appear, and mandatory fields must be filled. The invitee's role — Signer, [Reviewer](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/types-of-invitee/reviewer?type=v4-workflow&journey=workflow-creation), [Group Signer](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/types-of-invitee/group-invitee?type=v4-workflow), or Group Reviewer — is set during workflow creation; unless the creator left it editable, you cannot change it. [CC invitees](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/types-of-invitee/cc?type=v4-workflow&journey=workflow-creation) do not sign, but receive notifications about the document's progress. #### Set signing order If the workflow creator enabled the signing-order controls, you can configure them while running the workflow. Whether they are available depends on whether the creator left them visible and editable. - **Set signing order:** Drag the invitee cards to rearrange the signing sequence. - **Lock signing order:** Enforces the sequence — the document moves to the next invitee only after the current signer has signed. #### Invitee settings Select an invitee card to view their settings in the right panel. The **Settings** tab groups the invitee-level options into the sections below. All of these are set during workflow creation — whether you can see or change any of them depends on the [Field Properties](https://knowledge.leegality.com/document-execution/workflows/v4/setup-configuration/field-properties) the creator has configured. - [**eSign Types**](https://knowledge.leegality.com/category/esign-types)**:** The eSignature type(s) applied to this invitee. By default, the eSign type is visible but **non-editable** — you see the eSign type defined during workflow creation and cannot modify it, unless the creator left it editable. - [**eSign Prioritisation**](https://knowledge.leegality.com/document-execution/esign-type/aadhaar/prioritise-aadhaar-for-invitee?type=v4-workflow)**:** The preferred eSign type set for the invitee. This works for **Aadhaar eSign** only. - **Signature Appearance:** How the signature appears on the signed document. - [**Invitee Name on Signature**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/esignature-appearance/invitee-name-in-signature?type=v4-workflow)**:** Whether the invitee's name is displayed in the signature. - [**Company Seal**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/esignature-appearance/company-seal?type=v4-workflow)**:** The invitee is asked to upload a company seal image. - [**Invitee Name Editing**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/esignature-appearance/invitee-name-editing?type=v4-workflow)**:** Whether the invitee can edit their name during signing. - [**Webhooks**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/custom-url-and-webhook/webhook-and-url?type=v4-workflow)**:** A custom webhook and URL for real-time status updates. - [**Consent and Validity Controls**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/other-features/additional-consent?type=v4-workflow&journey=workflow-creation)**:** Custom consent terms shown alongside the default consent. - **Manage Invitee Interactions:** How the invitee interacts with the document during the signing journey. - [**Base URL**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/custom-url-and-webhook/webhook-and-url?type=v4-workflow)**:** A custom base URL for the invitee's signing journey. - [**Redirect URL**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/custom-url-and-webhook/webhook-and-url?type=v4-workflow)**:** The invitee is redirected to a specific page after events in the signing journey. - [**Add Supporting Documents**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/other-features/supporting-documents?journey=workflow-creation&version=v4)**:** Additional documents the invitee must upload while signing. - [**Allow rejection of doc(s)**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/other-features/reject-to-sign?type=v4-workflow)**:** The invitee is allowed to reject signing the document(s). - [**Custom message**](https://knowledge.leegality.com/document-execution/leegality-features/document-level/custom-message?type=v4-workflow)**:** A custom message the invitee sees with the signing invitation. - [**Local Language Settings**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/local-language?journey=workflow-creation&version=v4)**:** The invitee completes the signing journey in a local language — either they select a language as the first step, or a default language is set for them. - **Security Options:** Authentication and verification controls applied to the invitee. - [**1 Factor Authentication before document preview**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/security/one-factor-authentication?type=v4-workflow)**:** OTP verification via email or phone number before the invitee can preview the document. - [**2 Factor Authentication before document preview**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/security/two-factor-authentication?type=v4-workflow)**:** OTP verification via both email and phone number before the invitee can preview the document. - [**Capture GPS locations**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/security/capture-gps-location?type=v4-workflow)**:** The invitee's location is recorded at the time of signing, with optional accuracy- and location-based restrictions. - [**Capture Photo**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/security/capture-photo?type=v4-workflow)**:** The signer's photo is captured before they sign. - [**Send Document download link with OTP notifs**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/security/send-raw-document-link)**:** A link to download the raw PDF document is sent in all OTP verification emails/messages. - [**Mask contact details**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/other-features/mask-contact-details?type=v4-workflow)**:** Contact details of other invitees are masked from this invitee. - [**Notifications**](https://knowledge.leegality.com/document-execution/leegality-features/invitee-level/notifications/)**:** How invitations, reminders, and updates are sent to the invitee — **Email**, **SMS**, or **WhatsApp**. For CC invitees, only email notifications are available. - [**Certificate Verification**](https://knowledge.leegality.com/document-execution/esign-type/aadhaar/signature-certificate-verifier)**:** The intended signer's details are verified against the digital signature certificate after signing. - [**Contact Book**](https://knowledge.leegality.com/document-execution/contact-book)**:** Reuse saved contacts when filling in invitee details. #### Assign documents to invitees 1. Click **Assign Documents** on the invitee card. 2. Select which primary document(s) this invitee should sign. If you select multiple documents, the invitee views them in the order you select them — the first document selected appears first. 3. Invitees see and sign only their assigned documents. > **Info — Note** > > Every invitee must be assigned at least one primary document, and every primary document must be assigned to at least one invitee. > **Tip — Example** > > - **Borrower:** assigned the Loan Agreement and Property Documents. > - **Guarantor:** assigned the Loan Agreement only. > - **Bank Officer:** added as CC on the Property Documents only. Once all invitees are configured, click **Proceed** to continue — to the Template step if your pack uses fillable templates, otherwise to Finalise. --- ### Fill Template Fields (Optional) This step appears only when at least one document in the pack has at least one template that is both selected and **enabled**. > **Info — Note** > > If the workflow creator has hidden the Template stage using [Visualisation](https://knowledge.leegality.com/document-execution/workflows/v4/setup-configuration/visualisation), you won't see this step. A creator can hide or rename any stage this way. If a primary document has more than one enabled template, they are grouped under that document but filled separately. The Fill Template screen is divided into two sections: - **Left Panel – Live Preview:** Displays a real-time preview of the document as you fill in the fields. Changes made on the right are immediately reflected here. - **Right Panel – Form Fields:** Lists all available fields in the template. Enter or select values for each field as required. As you complete each field on the right, the corresponding field in the document preview on the left updates instantly, so you can verify your entries before continuing. > **Info — Group fields** > > If a template has group fields, filling one of them automatically updates the other fields in that group. > **Info — Template versioning** > > If the workflow creator picked **Latest** for a template, the version resolved here — the newest version available at this point — is the one used for the rest of the journey, including Finalise and signing. #### Allow first invitee to fill The **Allow first invitee to fill** toggle appears here only if the workflow creator left it visible; you can change it only if the creator left it editable. - **Off:** All of the template's field validations (mandatory fields, character limits, etc.) run now — you must satisfy them before you can proceed to Finalise. - **On:** Field validations are skipped here. You can leave fields empty — including mandatory ones — for the first invitee to complete during the signing journey. > **Tip — Best Practice** > > We recommend filling template fields at this stage rather than during the signing journey. When fields like addresses or descriptions are filled, they may expand and shift the document content downward. Since signature coordinates are placed at fixed positions, filling fields beforehand ensures signatures align with the final document layout. Click **Save as Draft** at any point to save your entries to the backend and resume later with the same data pre-filled. Whatever you've filled is also saved automatically once you send the pack. Once you've filled all required fields, click **Proceed** to continue. --- ### Step 4: Preview and Send documents This page previews the final documents that will be sent for signing. 1. **Preview the documents:** Use the tabs at the top to switch between primary documents, and review each one before sending. 2. **Verify signature coordinates:** The signature placement is fixed according to the workflow configuration. If invitee details for any signature coordinate are left blank, that signature box will remain empty. > **Tip — Example** > > In a pack with three invitees, if the second invitee's details are not provided, the corresponding signature coordinate box will remain empty. > **Info — Templates in the merged preview** > > Templates merge into their primary document here too, using the data you actually filled in the previous step. Unlike the Finalise preview in workflow creation, **disabled templates are not included** — a template must stay enabled all the way through to this point to be part of the pack that gets sent. 3. Click **Proceed** to send the pack. For any template where **Allow first invitee to fill** is off, its field validations are re-checked on the backend at this point before the pack is sent. If the pack is processed within 10 seconds, you are redirected to the [Details page](https://knowledge.leegality.com/document-execution/workflows/v4/pack-details). If it takes longer, you'll see the message *"Document pack is being processed. This may take a few seconds,"* and the pack is queued for processing. **During processing:** - Continue using the dashboard normally. - View status in the **Processing Queue** if needed. - Documents are sent to invitees automatically once processed. Once processing completes, invitees can begin signing, and you can track progress from the [Details page](https://knowledge.leegality.com/document-execution/workflows/v4/pack-details).
