This guide explains what you control when running v4 workflows. ## What you control when running a workflow ### Document pack creation **Primary documents:** - Add multiple primary documents using **+ Add Document** - Upload sub-documents (PDF files) for each primary document - Arrange sub-document order within each primary document - Name each primary document - Set internal reference numbers **Pack configuration:** - Pack name - Pack internal reference number - Folder selection - Auto-delete time interval - SFTP profile for signed documents ### Stamping configuration **Per primary document:** - Enable or disable stamping - Choose stamping option: - Stamps for merged document - Separate stamps for sub-documents Different primary documents can have different stamping configurations in the same pack. ### Invitee configuration **Add and configure invitees:** - Add signers, reviewers, group signers, group reviewers - Add CC invitees - Enter name, email, and phone number for each - Set signing order (drag to reorder) - Lock signing order to enforce sequence **Invitee-level settings:** - eSign type selection - Security settings (authentication, GPS, photo capture) - Notification preferences - Custom consent messages - Signing retry attempts - Other invitee-specific options ### Document assignment **Assign primary documents to invitees:** - Choose which primary documents each invitee receives - Each invitee must be assigned at least one primary document - Maintain privacy through selective assignment **Example:** - Borrower: Receives Loan Agreement and Property Documents - Guarantor: Receives only Loan Agreement - Bank Officer: Receives only Property Documents (CC) ### Signature coordinate placement **Set coordinates per invitee:** - Place signature coordinates on documents - Customize location for each invitee's signature - Copy coordinates to other pages: - All pages within current sub-document - All pages across all sub-documents in primary document ### Reference attachments **Add supporting documents:** - Enable reference attachments per primary document - Upload reference files for invitees - Provide context and supporting information ## What the workflow creator configures The workflow creator—your own admin or Leegality's team—may define: **Workflow structure:** - Basic workflow configuration - Default settings and preferences - Standard invitee role templates **Note:** The level of pre-configuration varies by workflow. Many v4 workflows give you full flexibility to configure settings at runtime. ## Running the same workflow multiple times Each time you run a v4 workflow: **You configure fresh:** - Upload new sub-documents - Add specific invitees with their contact details - Assign documents per run - Set signature coordinates for this instance - Configure stamping as needed **Workflow saves time by:** - Providing consistent structure - Maintaining standard configurations - Reducing setup steps - Ensuring compliance with business rules ## Common questions **Can I save a partially configured pack?** - The system may support draft saving during configuration - Check for "Save as Draft" option during the process **Can I modify after sending?** - No, once sent, the pack cannot be modified - You would need to create a new workflow run **Can I reuse invitee information?** - You enter invitee details fresh each run - Consider maintaining invitee lists externally for quick reference **Can I change the workflow structure?** - If your admin users created the workflow, an admin can edit it directly in your account - For Leegality-built (rule-based) workflows, contact Leegality to request structural changes - Runtime configuration happens within the workflow framework **What if I need different stamping each time?** - v4 allows you to configure stamping per run - Enable or disable stamps as needed - Choose merged or separate stamps per primary document
